1. Introduction
MailVibee ("we", "our", "us") is operated by VibeeCodex. This Privacy Policy explains how we collect, use, and protect your information when you use the MailVibee platform at mailvibee.com.
2. Information We Collect
Account information: When you register, we collect your name, email address, and a hashed password. Passwords are hashed using bcrypt and never stored in plaintext.
SMTP credentials: When you add SMTP accounts, we store the server details and encrypt passwords using AES-256-CBC encryption at rest. We never transmit your SMTP passwords to any third party.
Campaign data: We store campaign content, recipient lists, sending logs, and open tracking data. This data is associated with your account and isolated from other users.
Usage data: We may collect basic analytics (page views, feature usage) to improve the product. We do not sell this data.
3. How We Use Your Information
- To provide and maintain the MailVibee service
- To authenticate you and secure your account
- To send emails on your behalf through your configured SMTP accounts
- To track email opens when you enable open tracking
- To improve the product based on usage patterns
4. Data Security
We take security seriously. SMTP passwords are encrypted with AES-256-CBC. User passwords are hashed with bcrypt (cost factor 12). All forms use CSRF protection. SQL queries use prepared statements to prevent injection attacks.
5. Data Sharing
We do not sell, rent, or share your personal information with third parties. Your campaign data, recipient lists, and SMTP credentials are never shared.
6. Data Retention
Your data is retained as long as your account is active. You can delete campaigns, templates, and SMTP accounts at any time. To delete your entire account and associated data, contact us at hello@vibeecodex.com.
7. Open Tracking
When you enable open tracking for a campaign, MailVibee inserts an invisible 1x1 pixel image in each email. When a recipient opens the email and loads images, we record the open event (timestamp and count). Recipients are not individually identified beyond the email address you provided in the CSV.
8. Cookies
We use session cookies to maintain your login state. We do not use advertising cookies or third-party tracking cookies.
9. Your Rights
You have the right to access, correct, or delete your personal data. You can update your profile in Settings or contact us for data export or deletion requests.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date.
